Your team already uses AI. Do you have anything in writing?

A single-page template that makes clear what people may do with AI in your company, with which accounts, and what data never gets pasted into a chat. You fill it in with your details in an afternoon, the person in charge signs it, and you present it to the team.

The concrete risk

What happens when nobody has said anything

People paste what they should not

Someone uploads a price quote, a payslip or the client list to a public chat to “save time”. With no written rule, nobody knows that is not done.

Everyone on their own account

On a personal or free account, what you type can end up outside your control. The company did not choose that tool and nobody has vetted it.

Nobody checks what it says

AI sounds confident even when it is wrong. If no person answers for what comes out of it, the mistake reaches the customer.

First

First, train your team

A policy nobody understands ends up in a drawer. Before you hand it out, let your staff see why it matters: a 13-minute video, a quiz and a free certificate of completion. The video and quiz are in Spanish for now.

Take the free certificate

Certificate of completion, not an official qualification.

What is inside

One page, six ideas you grasp at a glance

Traffic-light of uses

What is fine, what always needs review and what is off limits.

Company account, not personal

Only approved tools, and only with the company account.

Data that never goes in

Personal data, contracts, non-public prices and passwords.

Six checks

Source, figures, dates, names, rules and common sense.

AI proposes, a person answers

Nothing goes to a customer until a person has read it.

Incident reporting

Who to tell when something goes wrong, with no blame hunt.

This is the template

This is the full text you receive. Anything in [square brackets] you replace with your company's details: name, owner, approved tools and review date.

How we use AI at [COMPANY NAME]

Owner: [RESPONSIBLE PERSON] · Date: [DATE] · Next review: [REVIEW DATE]

This is how we use AI tools (ChatGPT, Copilot, Claude, Gemini and the like) to save time without putting the company, our customers or ourselves at risk. It takes two minutes to read.

1. What we use AI for, and what we don't

Yes: drafting and rewriting text, summarising, organising ideas, translating, preparing first drafts and explaining things.

Always with a check: pulling data from a document into a table, comparing versions, technical drafts.

No: making decisions about people (hiring, firing, appraisals), trusting a figure, a rule or a quote without checking it, or sending anything to a customer before a person has read it.

2. Approved tools and accounts

We only use [APPROVED TOOLS], always through the company account. No personal or free accounts for work, and no new tool gets installed without asking [RESPONSIBLE PERSON] first. Need another one? Ask and we will look at it together.

3. Data that never goes in

Never paste or upload any of the following into an AI tool that is not the approved one:

  • personal data about customers, suppliers or colleagues (names with ID numbers, phone numbers, emails, payslips, health information);
  • contracts, quotes and prices that are not public;
  • passwords, access keys or codes;
  • internal reports, customer lists or financial information.

When in doubt, the answer is no, and you ask. If you only need a summary, strip out the names and details and ask anyway: the AI works just as well.

4. Check before you use it

Sounding right is not the same as being right. Before using what an AI tells you, run through these:

  1. Source: where does it come from, and does it exist?
  2. Figures: have I worked them out again myself?
  3. Dates: are they current?
  4. Names: do these people and companies actually exist?
  5. Rules and regulations: have I checked the official source?
  6. Sense: does it fit with what I know?

Asking the same AI whether it got it right is not a check. If it matters, a second person reviews it.

5. Accountability

The AI suggests; the person who uses it answers for it. Whatever we send, sign or publish is the responsibility of whoever sends, signs or publishes it, even if a tool wrote the first draft.

6. When something goes wrong

If you have uploaded something you should not have, spotted a wrong answer that has already been used, or seen someone use a tool that is not approved, tell [RESPONSIBLE PERSON] the same day. Speaking up early is not a telling-off: it stops a slip becoming a real problem.

7. Training

Everyone takes the free AI literacy training (a short video and a quiz) at aiprocessia.com/en/ai-literacy-certificate/. It earns a certificate of completion, not an official qualification. We review this policy at least once a year, and whenever our tools change.

What it is and is not

General information, not legal advice

It is a starting template for a small business. It is not legal advice and, on its own, does not guarantee compliance with any regulation.

Article 4 of Regulation (EU) 2024/1689, as amended by Regulation (EU) 2026/1744, speaks of companies adopting measures to support the AI literacy of their staff. A written policy is one possible measure, not a required formality and not an official qualification.

If your case calls for it (health data, recruitment, a regulated sector), check with a legal professional.

FAQ

What people usually ask

Is an AI use policy mandatory?
No law requires that specific document. Article 4 of the EU AI Regulation speaks of adopting measures to support the AI literacy of staff; a written policy and training are two common ways of keeping a record of them.
Does the template comply with the EU AI Regulation?
No template guarantees compliance on its own. This one is a starting template of good practice: it helps you organise how AI is used in your company and put in writing what is expected of each person.
What exactly is included?
A zip with the one-page template in Word (editable) and PDF (to print), in English and Spanish. No macros or odd fields: you replace what is in square brackets.
How much does it cost?
Nothing. To send you the download link we need your confirmed email address.
Why do you ask for my email?
To send you the download link and to confirm the address is yours. Only if you tick the second box will we also write to you with tips and news, and you can unsubscribe with one click.
Does it work for a very small company?
Yes, it is made for small businesses and teams of a few people. It is short on purpose: you read it in two minutes and can sign it the same day.
